We are a U.S.-based insurance and risk advisory firm seeking an interim operations specialist to support day-to-day execution while helping us build scalable workflows for 2026.

This role is systems-focused, client-facing at times, and requires clear, professional spoken English. You will work closely with leadership to organize insurance data, build workflows in Monday CRM, support benefits administration using Ease, and manage calendar coordination tied to renewals, enrollments, and client meetings.

This is not a basic virtual assistant role.

Key Responsibilities

Build and maintain workflows in Monday CRM

Organize and manage insurance policy data, including:

Policy numbers

Effective and expiration dates

Limits, deductibles, and retentions

Track renewal timelines and follow up with carriers and clients

Support benefits administration using Ease

Maintain and reference carrier contacts, client master data, and standardized templates

Follow and improve established file organization and naming conventions

Provide calendar support, including:

Scheduling client calls, renewals, and carrier meetings

Coordinating internal deadlines and follow-ups

Ensuring renewals, enrollments, and key milestones are properly calendared

Document SOPs and workflows as they are executed

Assist with occasional client phone calls or meeting coordination

Act as an operational extension of leadership

Who This Role Is For

This role is ideal for someone who:

Has familiarity with U.S. insurance processes (P&C, benefits, or agency operations)

Understands that insurance policies have:

Policy numbers

Start and end dates

Coverage limits and deductibles/retentions

Enjoys organizing structured, detail-heavy information

Thinks in systems, checklists, and workflows

Is comfortable managing calendars and priorities

Can work independently and communicate clearly with U.S.-based clients

Required Skills

Strong organizational and follow-up skills

Experience with CRMs or workflow tools (Monday preferred)

Comfort working with structured insurance data

Calendar coordination and scheduling experience

Clear, professional written and spoken English

Ability to handle confidential client and carrier information

Availability during U.S. Eastern Time business hours (with overlap)

Nice to Have (Strongly Preferred)

Prior work in:

Insurance agencies

Benefits administration

Legal, financial, or compliance-driven environments

Familiarity with:

Carrier portals

Policy documentation

Benefits enrollment and termination processes

Experience documenting SOPs or operational workflows
