Real Estate Administrative Assistant Needed for Property Management & Transaction Coordination
Real Estate Operations & Property Management VA (Full-Time)
We're a growing real estate operation across NJ and NYC — residential sales, rental brokerage, and a ~25-unit property management portfolio. We need an experienced operations VA to be our operational right hand.
This is NOT a sales role. You're the person who keeps the engine running — managing the CRM, handling tenant coordination, owning the calendar, and making sure nothing falls through the cracks.
== WHAT YOU'LL OWN ==
Property Management (~40%)
- Triage tenant maintenance requests and dispatch approved vendors
- Follow up on open tickets daily; update tenants on status
- Coordinate vendor scheduling, access, and invoicing
- Track lease renewals and flag upcoming expirations
Sales Operations & CRM (~35%)
- Manage and maintain Follow Up Boss: tagging, notes, pipeline stages, contact records
- Identify stalled leads and flag re-engagement opportunities
- Support transaction coordination: deadline tracking, document collection, attorney/title follow-up
- Draft client-facing correspondence and transaction documents
Admin & Scheduling (~25%)
- Own the calendar: showings, meetings, inspections, daily briefs
- Triage all inboxes: categorize, draft replies, flag urgent items
- Document and refine workflows as you learn the business
- Create social media posts for listings and company visibility
== WHO YOU ARE ==
- You've worked in real estate before — transactions and/or property management
- You're organized, proactive, and you don't wait to be told what to do
- Your written English is professional and client-ready (C1/C2)
- You've used a CRM (Follow Up Boss, KvCore, or similar)
- You're fluent with AI tools (ChatGPT, Claude) to draft communications and work smarter

- Full-time, remote
- $7–$9/hr based on experience
- EST timezone overlap required (6+ hours)
- Growth path to long-term operations partner
