Virtual Medical Receptionist / Medical Administrative Assistant

Athena Health EMR experience is required and non-negotiable for this role.

About the Role

We are looking for experienced, professional, and highly organized Virtual Medical Receptionists / Medical Administrative Assistants to support a busy U.S.-based medical practice.

    This role is primarily focused on:
  • Handling inbound and outbound patient calls
  • Appointment scheduling and rescheduling
  • Patient intake coordination
  • Front desk administrative support

The ideal candidate is confident on the phone, detail-oriented, able to multitask in a fast-paced environment, and experienced supporting U.S.-based healthcare practices remotely.

Key Responsibilities

    Patient Calls & Communication
  • Handle high-volume inbound and outbound patient calls
  • Answer patient inquiries professionally
  • Follow up regarding appointments, intake forms, and scheduling needs
  • Maintain excellent patient experience and professionalism on every call
    Appointment Scheduling
  • Schedule, confirm, and reschedule patient appointments
  • Manage provider calendars efficiently
  • Coordinate patient flow and appointment availability
  • Send reminders and handle cancellations promptly
    Patient Intake & Administrative Support
  • Complete patient intake and onboarding tasks
  • Enter and update patient information accurately in Athena Health
  • Prepare and organize patient charts
  • Document patient interactions appropriately
  • Support general medical front desk workflows
    Requirements (Non-Negotiable)
  • Minimum 2+ years experience supporting a U.S.-based medical practice
  • Hands-on Athena Health EMR experience
  • Strong English communication and phone skills
  • Experience handling high call volumes
  • Strong multitasking and organizational skills
  • Comfortable working independently in a remote environment
  • Professional, reliable, and detail-oriented
    Preferred Qualifications
  • Medical Receptionist or Medical Virtual Assistant experience
  • Outpatient clinic experience
  • Patient intake and scheduling coordination background
  • Familiarity with medical terminology
  • Strong customer service experience
