We’re not looking for an average transaction coordinator.

We’re looking for a detail-obsessed operator who can run escrows flawlessly, anticipate issues before they happen, and keep deals moving like clockwork.

If you’ve handled California AND Florida transactions at a high level, this is an opportunity to step into a growing, tech-forward real estate operation with long-term upside.

Core Responsibilities

Manage transactions from contract to close (residential resale + occasional off-market/investor deals)

Review contracts for completeness and accuracy immediately upon receipt

Open escrow/title and ensure all parties are introduced and aligned

Create and manage timeline + critical date tracking

Coordinate:

Inspections

Appraisals

Loan milestones

HOA docs

Ensure full compliance with:

California (CAR forms, disclosures, timelines)

Florida (FAR/BAR contracts, addenda, timelines)

Maintain broker compliance files (audit-ready at all times)

Communicate proactively with:

Clients (buyers/sellers)

Agents

Lenders

Escrow/title officers

Follow up relentlessly to prevent delays

Identify risks early and escalate when needed

Deliver a white-glove client experience

Systems & Tools (Must Be Comfortable With)

ZipForms / Glide / DocuSign (or similar e-sign platforms)

CRM systems (GoHighLevel or similar is a plus)

Google Workspace (Docs, Sheets, Drive)

MLS systems (CRMLS + familiarity with Florida MLS is a plus)

Transaction management platforms (or ability to learn quickly)

Requirements

Proven experience as a Transaction Coordinator (minimum 2–3 years)

Direct experience with both California AND Florida transactions

Deep understanding of:

CAR contracts & disclosures

FAR/BAR contracts & timelines

Strong communication and follow-up skills

Highly organized and process-driven

Comfortable managing multiple files simultaneously

Tech-savvy and adaptable
