- *Key Responsibilities**
As a Customer Service Specialist, your primary duties will include:
- Serving as the first point of contact for external customers via telephone or in person, providing exceptional service and resolving issues efficiently
- Referring customers to appropriate staff and/or providing general information regarding arenaflex functions and services
- Explaining department operating policies and procedures to customers
- Developing, maintaining, and archiving various files and records
- Assisting the public with reserving and renting arenaflex facilities, registering customers for classes, programs, and tours
- Responding to letters and routine correspondence
- Receiving and processing payments for various services, handling cash, and preparing deposits
- Receiving, reviewing, and processing invoices, payment requests, and tracking costs
- Preparing and processing purchase requisitions
- Preparing, compiling, tabulating, and maintaining data, including databases, various documents, and statistical and operational reports and records
- Reviewing payroll for assigned departments, identifying and resolving discrepancies, and researching and responding to questions from staff regarding payroll
- Tracking and registering staff for training classes as needed
- Issuing, receiving, typing, and processing various applications, permits, and other forms
- Overseeing the safe and proper operation of assigned facilities and activities
- Ensuring facility rules and safety guidelines are followed, maintaining order with disruptive patrons, and exercising crowd control when warranted
- Rendering first aid and CPR, if certified, as required
- Completing written reports and records as required, organizing and monitoring equipment inventory or assigned facility
- Knowing, understanding, and communicating department programs and services
- Answering questions and providing information to the public, investigating complaints, and recommending corrective action as necessary to resolve complaints
- Identifying and reporting any maintenance required on assigned facilities, equipment, or materials
- Overseeing daily operations and events held at assigned facilities, ensuring cleanliness of restrooms and public areas, and identifying and reporting maintenance conditions affecting facility operation, equipment, materials, and security
- *Essential Qualifications**
To be successful in this role, you'll need:
- A high school diploma or equivalent
- One year of experience in customer service, preferably in a recreation or library setting
- Excellent communication and interpersonal skills
- Ability to work in a fast-paced environment and prioritize tasks effectively
- Basic computer skills, including Microsoft Office and database management
- Ability to lift up to 25 pounds and stand for long periods
- *Preferred Qualifications**
While not required, the following qualifications would be an asset:
- Associate's or bachelor's degree in a related field, such as business administration, recreation, or library science
- Experience working in a recreation or library setting
- Certification in customer service, such as Certified Customer Service Representative (CCSR) or Certified Customer Service Manager (CCSM)
- Experience with customer relationship management (CRM) software and database management systems
