HubSpot Automation Specialist – Email Bounceback & CRM Hygiene Setup (Contract)

Location: Remote

Engagement: Contract / Project-based

Estimated Duration: 10–25 hours (with potential ongoing work)

Project Overview

We are seeking an experienced HubSpot Automation Specialist to design and implement a system that automatically updates HubSpot contact records based on email bouncebacks and auto-replies from outreach campaigns.

Our goal is to maintain a clean, accurate CRM that reflects real-world changes such as:

Contacts who have left an organization

Retirements

Out-of-office responses

Automated replies that redirect to a new contact

This role is not data entry or basic HubSpot setup — we are looking for someone who understands CRM automation, email parsing, and workflow logic.

Scope of Work

The selected contractor will:

HubSpot Configuration

Create custom contact properties (e.g. Email Status, Confidence Score, Replacement Contact)

Build HubSpot workflows that:

Detect hard vs soft bounces

Identify out-of-office replies

Flag suspected job changes or retirements

Stop outreach to invalid emails automatically

Trigger tasks or notes for follow-up

Gmail Integration / Automation

Configure Gmail-based automation (native, Zapier/Make, or custom script) to:

Monitor inbox for bouncebacks and auto-replies

Parse message content for key phrases (e.g. “has left the company,” “please contact”)

Extract replacement contact details when available

Sync parsed outcomes back to HubSpot (update records, create notes, create new contacts if appropriate)

Logic & Classification

Implement keyword-based or rule-based logic to distinguish:

Hard bounce vs temporary issue

Out-of-office vs permanent departure

Retirement vs job change

Ensure automation is conservative and audit-safe (no accidental overwrites)

Testing & Documentation

Test workflows with real-world examples

Provide clear documentation:

How the system works

How to adjust keywords and rules

What remains manual vs fully automated

Required Experience

Please apply only if you have direct experience with:

HubSpot CRM (Workflows, Custom Properties, Email Events)

HubSpot + Gmail or Google Workspace integrations

Automation tools (Zapier, Make, custom scripts, or HubSpot APIs)

Parsing email content or handling bounce/OOO logic

CRM hygiene and lifecycle management

Strongly Preferred

Experience cleaning or maintaining B2G / government-focused CRMs

Familiarity with HubSpot APIs

Experience with enrichment tools (ZoomInfo, Apollo, Clearbit, etc.)

Ability to explain technical decisions in plain English

Deliverables

Fully functional HubSpot automation for email bouncebacks and auto-replies

Gmail-to-HubSpot integration (tool-based or scripted)

Written setup guide and workflow diagrams

Optional: recommendations for ongoing optimization
