Job Summary
Under the policy direction of the Interventional Treatment Manager, the Interventional Specialist is a dual-function role responsible for the integrity of health information and for providing essential clinical backup for interventional psychiatric treatments.
The primary focus of this role (approximately 70%) includes managing medical records, billing data, prior authorizations, and regulatory compliance. Secondary focus (approximately 30%) of this role includes the hands-on administration of interventional treatments Transcranial Magnetic Stimulation (TMS) and Spravato. This individual will ensure that all data is accurate and patient care is seamless.
Core Responsibilities:
- Health Information & Operations (Primary Focus)
- Collect, assemble, and audit medical records to ensure they are accurate, complete, and stored according to standard procedures.
- Obtain and maintain insurance authorizations for medications, Spravato treatments, and TMS procedures.
- Collect billing data and ensure all encounters are completed and entered into the EMR daily.
- Maintain strict compliance with regulations; conduct regular audits of Spravato and TMS charts.
- Manage physician and procedure schedules, handle referral reporting, and coordinate medication ordering from pharmacies.
- Performs other clerical tasks as needed, such as answering phones, faxing, and corresponding with outside vendors
- Clinical Interventional Support (Secondary Focus)
- Administer TMS treatments according to physician protocols; set up medical devices and monitor sessions for accuracy and patient comfort.
- Manage physician and procedure schedules related to Spravato treatments.
- Oversee patient care during the observation period; conduct regular vitals checks (BP, pulse, oxygen) and monitor for signs of distress.
- Administer psychiatric rating scales, counselor patients on completion, and record detailed session notes.
- Resolve issues with patient comfort, coil contact, and system setup throughout treatment sessions.
- Patient Relations & Environment
- Serve as an ambassador for the practice, building rapport with patients struggling with depression and anxiety.
- Must maintain professional appearance and demeanor and interface well with patients in a mental health setting.
- Explain procedures to new patients, distribute educational materials, and assist with checking patients in and out.
- Ensure treatment rooms are clean, safe, and therapeutic; maintain a professional appearance and demeanor.
- Required Skills and Qualifications:
- High school diploma or equivalent required. Associate or Bachelor’s degree in a related field preferred.
- Certified Medical Assistant is a plus but not required.
- Previous experience in a medical facility or healthcare setting required.
- Experience with health information systems or medical billing is preferred.
- Ability to take basic vitals and recognize signs of mental or physical distress.
- Proficiency in Microsoft Office and electronic medical records software.
- Must be able to shift focus quickly between detailed data entry and direct patient interaction.
- Ability to maintain accurate medical records and treatment documentation.
- Excellent verbal and written skills for interacting with patients, physicians, and insurance vendors.
- Punctual, flexible and highly dependable.
- Ability to travel between offices.
- Physical Requirements:
- Ability to sit, stand, walk, squat, and reach constantly during an 8-hour shift.
- Manual dexterity to type and utilize medical equipment.
- Ability to lift up to 40 lbs.
- Visual and auditory acuity sufficient to maintain accurate records and monitor patient safety.
